How to Send a Recruiting Email That Actually Gets a Response
The First 5 Seconds
College coaches are busy. If your email doesn't communicate who you are and why you're reaching out within the first few sentences, there's a good chance it gets closed. Lead with your name, your graduation year, your event(s), and your best times. That's the data I need to know whether to keep reading.
The Subject Line Matters
A clear subject line gets your email opened. Something like '2027 Recruit | 5K 15:32 | Interested in “School Name” Cross Country' tells me exactly what I'm opening before I click. A vague subject like 'Hey Coach' or no subject at all signals an unprepared recruit.
What Every Recruiting Email Should Include
Your full name, graduation year, and high school
Your best times across all relevant events
Your current GPA and any test scores
A brief mention of your athletic goals for college
A specific, genuine reason you're interested in this program
Your high school coach's name and contact info
A link to a meet results page, TFRRS profile, or video
The One Thing That Gets Emails Deleted
Generic emails. If I can tell that you sent the same message to 50 coaches, I'm not going to prioritize a response. Coaches talk to each other. We know when athletes are mass emailing, and it signals that you haven't done your homework.
Spend 10 minutes researching each program before you email. Mention a specific athlete from their roster, a recent team accomplishment, or something about the campus or academic program that genuinely interests you. That level of detail stands out immediately.
Following Up: When and How
If you don't hear back within two weeks, a brief follow-up is appropriate. Keep it short — just a reminder of who you are and a note that you're still very interested. Follow up again after a strong race with your updated result.
Persistence shows initiative. Coaches recruit athletes who want to be there — and following up professionally communicates exactly that.
A Simple Template to Get You Started
Subject: 2026 Recruit | [Event] [Best Time] | [Your Name] — Interested in [School] Cross Country/Track
Coach [Last Name], My name is [Your Name] and I am a Class of 2026 distance runner from [High School] in [City, State]. I am reaching out because I am genuinely interested in your program at [School]. [One specific reason — team success, academic program, coaching philosophy, etc.]
My current bests include: [list events and times]. I carry a [GPA] GPA and scored [test score] on the [ACT/SAT]. My coach is [Coach Name] and can be reached at [email/phone]. You can find my recent results at [link].
Thank you for your time. I look forward to hearing from you. — [Your Name]
